Membership drive notices

Notices sent during the annual membership drive are sent both by email and by the postal system. This page provides links to the notices and instructions for updating and sending them.

Overview

Notices are sent at the start of the drive to notify current members that renewal is due, and also to try to re-enlist lapsed members. Reminders are sent two or three times. There is a notice with an invoice that goes out if a person clicks on the "Renew" button in their profile. There is also a confirmation notice sent when someone renews and a donation receipt for the optional donations that are often made at the time of renewal.

These notices are sent automatically by Wild Apricot. To view them, you must have administrative privileges and be logged in to Wild Apricot in admin view (button in the top right in Wild Apricot)..

Update procedure - postal

The postal notices are all MS Word documents.

  • Click on one of the links on the left
  • The document will download to your computer and be in the location for downloads from the browser you are using (probably your Downloads folder).
  • Open it in  MS Word.

  • Signatures on the notices are the current ASURA President and Membership Committee chair. So the signatures nearly always need to be changed. See "Digital signatures" for how to obtain a signature image to insert.
  • Other changes may be suggested by those whose signatures appear on the notices (the President and the Membership Committee chair). You can refer reviewers to the links under "List of postal notices" on the left, so that they are looking at the documents that will actually be mailed.

Once all the letters have been undated let the Mailing Systems Manager know so the US Postal mailing process can begin.

Update procedure - email

  • Make sure you are logged in and in "Admin view".
  • Make sure you see a menu on the left as well as along the top. This may require clicking on the"home" icon in the upper left corner. 
  • See "Navigating WA's menus" for help.
  • From the menu on the left, click on "Members". Then click on "Levels" from the menu along the top.
  • Choose the member type (Introductory or Renewal) that you want to work with, and click on it.
  • Click on the "Renewal policy tab" for that membership type.

On the "Membership level details" page for the membership type, adjust which notices are sent and when they are sent, if needed.

  • Current policy calls for the first renewal to go out about May 15. If you wish, you can use a date calculator to determine the number of days between May 14 and July 1, but it should be 42 days.
  • Current policy calls for the second notice to go out 15 days after the due date, i.e., on July 16. This 15-day "wait" reduces the chance that there are unprocessed renewals pending.
  • Current policy calls for the membership to stay in effect through August 30 (60 days), at which time it is automatically set to "lapsed". 

  •  Click on the blue link that contains the word "email", above a box that has "Member" checked. This opens the associated email notice.
  • Click on the Edit button in the top left area.
  • Leave the {Contact_Fullname) in the salutation alone -- that is a macro that inserts the person's name in the notice.
  • Make changes to the notice as suggested by the people whose signatures appear on the notice.  The names of those people almost always need to be changed. Making changes is technically quite similar to making changes in MS Word.
  • Click on the Save button in the top left area when done.
  • Click on the "Send sample email" button in the top left area to send yourself an email that you can review yourself and also forward to other reviewers for their comments.
  • Click on the Back link in the upper left area to return to the renewal policy page.

 

  • There should be two notices for each of the two membership levels involved.
  • Use the "back to list" link in the upper left area to move from one membership level to another.
  • The second notice can be identical for both membership levels. It has typically been briefer.
