Working with Wild Apricot files

Wild Apricot includes an easy-to-use space to store files securely. ASURA uses it for most organizational forms and documents. This page explains how to access, update, and store files in the file folders.

Overview

The Board Secretary, the Membership Committee, the Operations Managers, and sometimes others need to add and modify files stored on Wild Apricot. The files kept on Wild Apricot fall into three basic categories:

  • Operational files that are linked to from ASURA websites. The files placed on Wild Apricot are typically those that require regular update -- it is quite a bit easier to update such files on Wild Apricot than it is to update them if they are stored on the site servers. Examples are the enrollment forms, the letters used in the membership drive, the Board ballot, and the ASURA trifold.
  • Operational files that are placed on Wild Apricot to facilitate sharing by those who need them. Examples include ASURA logos and signatures, financial and membership records, and committee documents.
  • Files that are integral to the use of Wild Apricot. Examples include email templates, event templates and photos, and website theme files.

Getting help

You can access Wild Apricot's help on File Management when you are in "Admin view" by

  1. hovering over "Help center" in the vertical gray menu bar, 
  2. clicking on "Help & Support" in the popup window 
  3. entering "working with files" in the Help Center Search box
  4. clicking on blue "File management" link.

Details

To work with the files you must be in Admin view (see Navigating WA's public and admin menus) with the appropriate administrative privileges.

  • Make sure you are on the "home" Wild Apricot admin screen. To do this, click on the Personify/WildApricot logo or the "home" icon in the upper left. You should see a black menu on the left that is headed by Account. There should also be a black menu along the top.that begins with Dashboar.
  • Click on "Website" in the vertical menu on the left. This changes the top menu to one that begins with "Site pages" .
  • Click on "Files" in the top menu. You should see the file folders, with a familiar interface. Click on folders to expand or open them.

Uploading a file
  1. Select the folder where you want the file to go
  2. You can drag and drop the file you want to upload from your computer to the open folder
  3. Alternatively
    1. Click on "Browse" button and point to the desired file on your computer
    2. Click on Open - the file should now appear in the right pane in the folder you selected.
Downloading a file
  1. Open the folder containing the desired file and click on the file
  2. Either right mouse click and select download from the popup window or click on the download button in the horizonal menu bar.
  3. The file will either be downloaded to your browser's default download folder or you will be prompted to select a location for the download
Updating a file

Updating a file replaces the file with one from your computer. The name of the file does not change and file on your computer does not have to have the same name as the file on Wild Apricot.

  1. Right mouse lick on the file you want to update and select Update file from the popup menu
  2. Click on the browse button in the new popup window and then point to the file on your computer that you want to use to update the file
  3. Once you have picked the file click on Save and then on OK to update the file
Other file operations
  1. Copy - copy to your clipboard
  2. Cut - copy to your clipboard and delete the file
  3. Rename - change the file name
  4. Delete - remove file
  5. Properties - display file properties
  6. Access level - change access  (Public, Admin only, Restricted)
