Tri-University meetings

The three retiree associations for ASU, UofA, and NAU meet to share ideas and discuss issues to see if there are things that they could do to benefit their respective organizations. This group also works to present a united front to Arizona government and agencies that they deal with. Typically ASURA is represented by its Legislative Liaison, President, Vice President and Immediate Past President.

Historically these meetings were held once a year in October and were in-person at ASU. With the advent of the Pandemic the meetings became virtual and quarterly.

For a virtual meeting

The hosting organization should:

  • Establish an acceptable meeting date and time with the two other universities and  the ASRS attendees
  • Create a Zoom meeting
  • Invite the attendees to the Zoom meeting.

One of the positive outcomes of going virtual was a realization that the three universities could share their virtual events.

For an in-person meeting

The three universities share hosting responsibilities which consists of setting the agenda (date, speakers). The hosting rotation is: ASU, U of A, NAU. If there is to be food, the hosting university pays for it white ASU arrange for it.

Whether ASURA is hosting or not,  ASURA has the responsibility for:

  • Booking a room, typically in the Memorial Union. This can only be carried out after the host has selected a date for the event which is probably set by the availability of the desired speaker. The speaker has historically been the head of the ASRS or delegate. If ASURA is not hosting, a gentle reminder should be sent to the hosting university in mid-August reminding them of their duty.
  • Arranging for guest parking. It may also be possible to “reserve” a few spots in the Apache Parking Structure, which often fills up. The ASURA sponsor organization (Human Resources) might be willing to provide parking stickers for the attendees.
  • Arranging for catering. If it is to be in the Memorial Union, U of A or NAU can contact Aramark directly to make arrangements. They just need to know the general information of the meeting (either the reservation number or date/time/room). It would probably be a good idea for UA or NAU to request that ASURA be copied on things and that ASURA be added in as a secondary contact. This lets the schools coordinate the catering and pay on their own. If all works as planned this will keep ASURA out of the billing loop.
