Delete photos in Wild Apricot

To improve performance in creating email blasts, it is helpful to delete old photos from the Wild Apricot files. Once a year is often enough.

Overview

If an email blast to be sent in Wild Apricot includes a photo or document, that photo or document is first stored in Wild Apricot's file system, then inserted in the email from there.

Since obituary emails typically include photos, the number of photos in the Pictures folder keeps increasing, and the more there are the longer it takes to locate and insert the desired image. Once the email blast is sent, the obituary is posted on the ASURA website, so the images are not needed for long.

Therefore, to improve performance for those sending email blasts, particularly obituary notices, it is desirably to delete older photos from the Pictures folder from time to time. Once a year, say in January, is often enough to provide for reasonable response time.

 

When to delete

It doesn't matter much when you do this. The summer is usually a pretty good time, but whenever it is convenient is fine.

 

Photo deletion steps

  • Log in to Wild Apricot using an account that has administrative privileges and sitch to Admin view by clicking on "Admin view" in the upper right corner.
  • Choose "Website" from the menu choices on the left, then Files from the menu choices along the top. 
  • The Files page will show folders on the left, in alphabetical order.

The images used for obituary email notices are normally stored in the Pictures folder. Click on the folder to display contents on the right. There are some subfolders that contain pictures used for posting events and for Wild Apricot web pages. These should be left alone. Delete only the photos that are not in these subfolders.

  1. Sort the files into Date Modified sequence by clicking on the "Date Modified" heading. If this doesn't work, try a different browser.
  2. Click on the first file you wish to delete, scroll down to the last one you want to delete (e.g., the last one that has a date of more than a year ago), hold down the Shift Key and click on that last one.
  3. Right-click anywhere in the area that is highlighted, and choose "Delete".
